In my opinion, the Vendors (especially Handyman-type) you hire should be better vetting to ensure that they are qualified (experience, technical).
The following is one recent example:
On 11/22/21 I received the following email ---
"Your tenant reported that the shower glass door is lose and very dangerous to open and close. Also reported the kitchen light fixtures are not working. Please see the attached estimate for the repairs from Headed Home and FixBuild."
After reviewing the Vendor's Proposals, I replied on 11/22/21 with the following ---
"I have the following questions:
1. There are 2 contractors, Headed Home and FixBuild doing repair work in the bathroom and kitchen.
2. Appears that the scope of work for the bathroom is to repair the loose shower glass door and change out 4 flourescent light bulbs. Correct?
3. Appears that scope of work for the kitchen is to restore to working condition the 2 light fixtures. Correct?
4. Who is doing what portion of the work? There appears to be some redundancy.
5. What is the reason that the kitchen light fixtures don't work? Who determined that to fix, the entire light fixture must be replaced (not just the ballast, etc.)?
On 11/23/21, I sent the following message ---
1. Bathroom (work to be done by Headed Home Builders): Repair by replacement the loose shower glass door and change out 4 flourescent light bulbs. Cost = $1,055.80.
Correct?
2. Kitchen (work to be done by FixBuild): Replace light fixture ballast. Cost = ???
Cost is unknown because FixBuild's Proposal does not state anything about replacing the kitchen light fixture ballast; rather, it's calling for replacement of four light fixtures. See below screen capture. Please clarify and obtain a revised Proposal from FixBuild if necessary.
On 11/24/21, I sent the following message ---
1. Go ahead and replace the shower glass door immediately.
2. For Bathroom lighting, Headed Home Builders Proposal is not clear. What is the cause of the problem (lights not working); is it just a bulb replacement, ballast replacement, etc. This is not explained properly; Proposal is not clear.
If only the bulbs or ballast need replacement, OK to do so immediately.
3. For the Kitchen lighting, FixBuild Proposal is also not clear. One line item states to replace "light bulbs" and another line item states to replace "light fixtures". You stated below that only the ballast needs replacement. Once again, this Proposal is not clear.
Please speak to all your Vendors. In general, their Proposals be clear and should speak for themselves; Proposals should not need you to interpret to me, and to me is unprofessional, and a reflection of the business. This is wasting time.
On 1/21/22 I sent the following message ---
Have the Contractors re-submitted their Estimates to clarify as discussed below?
Also, on original 11/22/21 message below, the tenant reported the kitchen light fixtures are not working. Are the kitchen light fixtures still not working since Nov. 2021?
On 1/24/22 I sent the following message ---
"Please speak to all your Vendors. In general, their Proposals be clear and should speak for themselves; Proposals should not need you to interpret to me, and to me is unprofessional, and a reflection of the business. This is wasting time."
Re: "Are the kitchen light fixtures still not working since Nov. 2021?" ---
If you do not know, please ask the tenant and let me know.
If the kitchen light fixtures have not been working since Nov 2021, this is unsatisfactory.
For a basic issue such as this, the vendor's assessment and repair Proposal should be clear and straightforward.
If the vendor cannot provide this, we should not be contacting them.
In general, my Locations Property Management team appears capable. However, sometimes there appears to be a disconnect when working with vendors, especially Handymen type such as above. Certain Vendors do not communicate in their Proposals clearly, which as you can see above wastes much time while the tenant suffers. Please take of these types of situations as they also reflect on Locations.
